Terms & Conditions 2022
Please read our terms and conditions carefully before booking your stay.
We reserve the right to amend these terms at any time. Any such changes will take effect immediately when posted on our webpage or otherwise.
Agreement:
In making payment of your deposit, you are signifying that you have read and agreed to these terms and conditions. You agree that at least one member of your party is over 21 and takes full responsibility for any loss of damage caused by any member of your party.
Any person in breach of these Terms and conditions may be asked to leave the site with no refund.
Bookings & Payment:
Your booking must be paid for in full before arrival. We cannot accept cancellations within 4 weeks (28 days) of your arrival date for any reason.
It is your responsibility to check for email correspondence from us. If you change contact details you must let us know straight away so that we can update your booking. If you fail to provide us with updated details we will not be responsible for any expense incurred as a result.
All stays must be pre booked in advance. No admittance to the site without prior booking.
Order confirmation:
Upon booking you will receive an order confirmation email with the bank details for your deposit payment. This must be paid via bank transfer within 24 hours (or by close of the next working day if booked on a sat/sun) to secure your stay. If we do not receive your deposit we will cancel your booking.
Please let us know immediately if any of the details in your order confirmation are incorrect and we will endeavour to make amends as we are able.
Minimum Booking:
Our minimum booking is for 1 night except for the August bank holiday for which there is a 3 night minimum stay which must include nights of Friday 26th August through to Sunday 28th August).
What we accept:
We accept all tents, trailer tents, campervans and small motorhomes. Please specify which of these you will be using when booking to ensure that it is correct in your booking.
What we don’t have:
Please note there is no electric hook up at Brooklands.
Unfortunately, we do not have wheelchair access showers or toilets at present.
At present there is no facility for mobile phone charging or freezing of ice blocks.
If you would like to make changes to your booking, we will endeavour to be flexible however this may not always be possible.
We only accept payment via bank transfer. We do not accept cards or PayPal.
30% deposit is required to secure your booking.
The Balance is payable no later than 4 weeks in advance.
For bookings commencing within 4 weeks then the full balance is payable at the time of booking.
No refund will be given for bookings cancelled within 4 weeks (28 days) of the arrival date. Cancellations with over 4 weeks’ notice will incur the loss of your deposit.
Upon receipt of your deposit (or full balance if booking within 4 weeks of your stay) you will receive a booking confirmation email with a booking reference and a date by which the full balance is payable. If you fail to pay your full balance by the date specified then we reserve the right to cancel your booking and retain your deposit.
Payment of your deposit is agreement to these terms and conditions. A copy of which are included within our order and booking confirmations.
Cancellation Policy:
All cancellations and amendments must be confirmed by email and sent to Victoria@Brooklandscampingnewforest.com as soon as possible quoting your name and booking reference and reason for cancelling.
If you cancel within 4 weeks of your arrival date no refund will be given. If you cancel before this, you will receive a refund minus the 30% deposit.
If you do not pay the deposit within 48 hours, then we reserve the right to cancel your booking.
If you do not pay the full balance by the date indicated in your booking confirmation, then we reserve the right to cancel your booking and retain the deposit paid.
Coronavirus related Cancellations:
If you need to cancel due to Coronavirus restrictions or for self isolation we offer flexible rebooking for any available date we are open this year. This is subject to availability and if this falls on the bank holiday will be subject to the bank holiday pricing so the additional rate will need to be paid. We are unable to offer rebooking in 2023 at present.
Please note that we cannot offer refunds for any cancellations made within 4 weeks of the arrival date.
If we are required to close due to coronavirus restrictions, we will allow you to rebook at a later date within the season subject to availability.
Cancellation by you:
Cancellation by you due to inclement weather, transportation failure, non-arrival of party members, illness, late arrival or early departure are not eligible for any refunds whatsoever.
Cancellation by us:
If we must cancel your holiday due to circumstances within our control, we will offer you a comparable booking within the season. If this is not acceptable to you then we will retain your deposit but refund any balancing payment.
In the event of a “Force Majeure” including adverse weather conditions or other exceptional circumstances that are NOT in our control no refund is given.
In exceptional circumstances including ‘Force Majeure’, it may be necessary and at our discretion to cancel part or all of your holiday on safety grounds, in these circumstances, no refunds are issued for any reason whatsoever.
Force Majeure – Adverse Weather Conditions
Brooklands Farm Camping does not accept responsibility for anything that adversely affects your holiday that is outside of our control. These circumstances are known as ‘Force Majeure’ events and are circumstances that we could not, even with due care, have foreseen or avoided. Such circumstances include (but are not limited to) war, civil unrest, industrial action, terrorist activity, natural disaster, fire, adverse weather conditions, foot and mouth disease, pandemics and all other similar events outside our control. We will endeavour to manage any problems caused as a result of Force Majeure event but shall be under no obligation to do so and shall not be liable to you for any losses or additional expenses caused by a Force Majeure event.
Guest Unforeseen Events
We recommend you take out travel insurance, as we do not provide refunds for unforeseen events. “Unforeseen events” are defined, but not limited to bereavement, jury service, personal illness or illness of someone within your party, risk of contagious disease, redundancy and unavoidable work commitments. We strongly advise that anyone falling ill with a highly infectious disease should act responsibly and stay away from public areas (and other holidaymakers). If in any doubt about the risks of exposing the public (and members of your holiday group) to a contagious disease, please seek medical advice. Some infectious diseases have the potential to cause serious health implications (or death), and as such, we will consider sending any holidaymaker home, who does not act responsibly, or who acts with intent to spread the infection.
Arrivals and departures:
Your booking must be paid for in full before arrival. You may arrive between 1pm and 8pm on your day of arrival. Pitches are not allocated so you may choose where you go when you arrive. Please inform us if you are going to arrive late.
We would appreciate if you would indicate your arrival time when making the booking.
Please leave the site on your day of departure by 11am at the latest.
We do not offer refunds for early departures.
Pitches:
Our pitches are numbered but not allocated in advance so you may choose any available pitch upon arrival.
We accept a maximum of 4 adults on each pitch and up to 6 children. Children must be supervised at all times.
We also accept bookings that require up to 3 pitches (up to a max of 12 adults, this booking should include at least 3 children).
Please do not camp under the trees. As they are very old occasionally branches or fir cones can fall. These would cause significant injury.
It is your responsibility to site your tent responsibly away from danger. This includes ensuring reasonable distance to prevent spread of fire.
Due to the peaceful nature of Brooklands we do not accept larger groups of adults or stag and hen parties.
One vehicle is included per pitch booking and each additional vehicle is chargeable at £5 per night.
As our site is in a rural environment, we do not accept responsibility for any damage, injury, or inconvenience caused by the weather, plants, trees, insects, animals, or wildlife.
Brooklands Farm camping accept not responsibility whatsoever for damage, loss or theft of items belonging to guests during their stay. Guests are entirely responsible for their own property and the behaviour of their party at all times.
DOGS:
We accept well behaved dogs which must be kept on the lead at all times. All mess must be cleaned up. Maximum of 3 dogs per pitch.
Campervans & Motorhomes:
We are happy to accommodate both campervans and small motorhomes either of which may also have awnings so long as they fit within our designated pitches, no twin axel vehicles.
We do not charge a supplementary amount for campervans and motorhomes.
We are not permitted to have caravans at Brooklands.
Behaviour and Noise:
The use of foul language, threatening behaviour or vandalism will not be tolerated at Brooklands Farm Camping.
There is a no music or radio policy at Brooklands so as to maintain a peaceful place for all of our guests.
We also operate a quiet policy after 10.30pm each evening until 7.30am each morning.
Any infringement of these rules may result in all members of a party being required to leave immediately. No refund will be given.
Fires:
We do not allow campfires. BBQs, are permitted but these must be well off the ground and away from tents/ other structures. Any barbecues used on our sites should be specifically designed and used only for the purpose of cooking food (i.e. not firepits). They should be robust, secure and able to be raised off of the forest floor, there should be no damage or marks left on the ground where they have been used. Disposable barbecues are not permitted. We are also reminding campers that outside of our sites, no barbecues of any kind are now allowed anywhere in the New Forest.
Health & Safety
Please take note of the site rules.
Children must be always supervised whilst staying at Brooklands.
Strictly no access to any other parts of the farm.
Do not camp underneath the trees.
No smoking around any of the communal areas on site. All stubs to be put out safely to avoid fire and binned as our cattle graze in the field out of season.
If you do smoke please respect others and keep your smoke away from others and considering wind direction.
Liability
Nothing in this section limits or attempts to limit our liability for:
Death or personal injury caused by our negligence; or
Fraud or fraudulent misrepresentation; or
Any breach of the obligations implied by Section 2 of the Supply of Goods and Services Act 1982; or
Losses for which it is prohibited in Section 7 of the Consumer Protection Act 1987 to limit liability; or
Any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.
Subject to the matters detailed above, if we fail to comply with these Terms, we shall not be responsible for any losses that you suffer as a result, except for those losses which we could reasonably foresee would result from our failure to comply with these Terms.
In addition to the above, we shall not be responsible for any:
Loss of income or revenue;
Loss of business
Loss of anticipated savings
Loss of data
Our maximum liability shall be no more than to refund the amount paid by you for the holiday.
As our site is located in the forest environment, we do not accept responsibility for any damage, injury or inconvenience caused by plants or wildlife.
